Role: Influencer Billing Specialist

Location: Must be local to Philadelphia to go on-site as needed (NY, NJ, DE, PA)

• Manage purchase orders and payment workflows for up to 200+ influencers, talent agencies, and campaigns simultaneously.
• Confirm client funding, approved campaign budgets, and available PO balances before processing payments.
• Create, maintain, and track purchase orders from campaign launch through final reconciliation.
• Enter influencers and talent agencies into the billing or vendor-management system.
• Collect and validate contracts, invoices, W-9s, banking information, and other required payment documentation.
• Confirm campaign deliverables, contracted fees, invoices, and purchase orders align before authorizing payment.
• Process payments directly to influencers or their designated talent agencies according to established terms.
• Track payment schedules and communicate anticipated release dates to influencers, agencies, and internal campaign teams.
• Resolve rejected invoices, missing documentation, payment delays, duplicate records, and billing discrepancies.
• Maintain accurate trackers for committed spend, invoices received, pending payments, released payments, and remaining campaign funds.
• Reconcile campaign spending against approved budgets, forecasts, accruals, and actual payments.
• Partner with Campaign Management, Account Services, Finance, Legal, and Procurement to resolve issues and prevent payment delays.
• Provide regular reporting on outstanding invoices, aging payments, open purchase orders, and potential budget risks.
• Maintain confidential, accurate, and audit-ready financial records.
• Identify workflow bottlenecks and recommend improvements to streamline high-volume influencer payments.
