Hybrid/On-site/Remote: Hybrid (Minimum 3 days per week in-office)

Responsibilities:

  • Dual-Track Project Execution: Independently manage mid-scale events from initial concept through final execution, while simultaneously acting as a critical support layer for senior producers on large-scale experiential activations.
  • Financial & Budgetary Control: Develop, manage, and reconcile project budgets up to $1M; coordinate with leadership on quarterly budget reviews to monitor profitability metrics, analyze losses, and implement mitigation tactics.
  • Account Support & Client Care: Serve as a reliable point of contact for clients, managing meeting schedules, baseline communications, and critical deadlines while ensuring internal and external approvals move smoothly.
  • Cross-Functional Alignment: Partner with production management, creative design, and scenic build teams to translate client visions into actionable assets, assisting with the development of line plans, spatial renderings, and technical elevations.
  • Pre-Production & Onsite Preparation: Lead the creation and collection of essential event documentation (including master timelines, activation decks, run-of-shows, and contact lists); organize and distribute necessary print and digital materials for production briefings and onsite staff.
  • Logistics & Inventory Accountability: Ensure comprehensive pull lists are fully finalized and vetted for accurate logistics; collaborate with production managers to secure required municipal event permits and certificates of insurance (COIs).
  • Vendor Management: Assist cross-functional teams in sourcing, negotiating, and maintaining external vendor networks, overseeing cost approvals, invoice routing, and data updates to shared company databases.
  • RFP Support & Pitching: Participate in the development of responses to new business RFPs, contributing to strategic content creation and building out client-facing presentation decks.


Qualifications:

  • Experience Tier: 6+ years of active industry experience within event production, experiential marketing, or live entertainment management environments.
  • Project Mastery & Prioritization: Proven ability to multitask efficiently, juggle competing deadlines, and maintain exceptional attention to detail across multiple concurrent projects.
  • High-Pressure Adaptability: Highly flexible, proactive, and resilient when navigating last-minute logistical changes or high-stress live event variables.
  • Professional Communication: Excellent verbal and written interpersonal skills, with refined phone presence and strong proofreading/editing capabilities.
  • Technical Environment Fluency: Highly proficient within macOS environments, Microsoft Office, Google Workspace, Slack, and collaborative task tracking platforms like Trello.
  • Schedule Flexibility & Mobility: Willingness and absolute ability to travel as needed and work non-traditional hours—including late nights, early mornings, weekends, and holidays—based on event execution schedules.
