Temporary support is needed due to a key resource being out on leave. This position will provide short-term coverage to maintain

continuity of the Bank’s Records Management Program, including administrative support, records inventory activities, program

material maintenance, and ongoing project work.

Experience with records inventory, file conversion, and records or document management systems is required to ensure the

temporary resource can support program requirements, compliance-related activities, and routine operational responsibilities

with limited training. Required skills include:

Professional and Administrative Skills

· Communicate clearly and professionally through verbal and written correspondence.

· Work collaboratively with the Records & Continuity Services Officer and business partners to complete assigned tasks.

· Provide responsive customer service when supporting records-related inquiries and requests.

· Complete work accurately, with attention to detail and established procedures.

· Manage assigned tasks with limited supervision and escalate questions or issues when needed.

· Meet deadlines and maintain organized documentation for assigned work.

Technical Skills

· Working knowledge of Records Management principles, including records inventory, retention, and file organization

practices.

· Ability to follow compliance-related procedures and maintain accurate supporting documentation.

· Experience using document or records management systems to locate, update, organize, or convert files.

· Ability to support records inventory, file conversion, data entry, and program material maintenance activities.

· Proficiency with Microsoft Office, including Excel, Word, PowerPoint, and Adobe Acrobat.


$35-40 an hour

Summary 

1. Core Role & Key Responsibilities

  • Workload Relief: Provide immediate coverage for a temporarily vacant role to pick up on backlogged tasks and keep operations running.
  • Independent Execution: Perform as an independent worker who picks up tasks quickly, solves problems proactively, and escalates issues only when necessary.
  • Program Support: Assist the hiring manager (Caitlin) in managing and executing work across approximately four active organizational programs.

2. Industry & Domain Expertise

  • Regulatory Compliance: Must have a strong background in regulatory records management—understanding standard retention periods and compliance rules for keeping critical corporate records.
  • Preferred Industry Backgrounds: Candidates should come from heavily regulated, white-collar corporate environments, specifically:
  • Financial Services
  • Pharmaceuticals
  • Energy
  • Government
  • (Note: Medical/healthcare records and basic legal records are not ideal matches. Aircraft/maintenance/scientific records like FAA regulations are also not a direct fit).

3. Technical & System Skills

  • Hybrid Records Management: Experience handling both physical (paper) and electronic corporate records.
  • Information Systems: Knowledge of information systems and hands-on experience using an Electronic Records Management System (ERMS).
  • Document Management: Experience with broader document management and potential system implementations is highly desirable.

4. Position Logistics & Interview Process

  • Employment Type: Temporary contract 
  • Work Schedule: Hybrid — 4 days on-site, 1 day remote.

  • Round 1: Virtual screening interview with hiring managers (Caitlin & Brian).
  • Round 2: In-person/on-site interview (may include stakeholders from Legal or Technical Services, depending on the candidate's systems background).
