Who Are You?

 

The Executive Assistant intern will provide high-level administrative support to Plaza 55 management, ensuring smooth operations and effective communication across all facets of the Plaza.  This role is essential in managing the executive’s daily schedule, coordinating pop-ups, and plaza events, and handling communication with tenants and vendors. The ideal candidate is proactive, highly organized, and capable of multitasking in a fast-paced environment.

 

What will you do


  • Administrative Support: Manage calendars, schedule meetings, and coordinate appointments. Prepare meeting agendas, take minutes, and ensure timely follow-up on action items.
  • Communication Management: Manage incoming emails and phone calls, responding on behalf of management when appropriate. Screen, prioritize, and draft responses to ensure efficient communication.
  • Event and Pop-Up Management: Assist in planning, coordinating, and managing pop-up events and other Plaza activities. Work closely with vendors and tenants to ensure successful event execution.
  • Office Management: Maintain office organization, manage office supplies, and ensure the work environment is tidy and efficient. Handle incoming and outgoing correspondence.
  • Vendor and Tenant Relations: Serve as a point of contact for vendors, service providers, and tenants, handling inquiries, managing contracts, and assisting with space rentals. 
  • Project Coordination: Support various projects and initiatives by tracking process expense reports, and handle deadlines, and ensuring project completion aligns with Plaza 55 goals.
  • Confidentiality and Nondisclosure: Manage sensitive information with discretion and professionalism.

 

Your Background

 

  • Experience as Executive Assistant or similar administrative role.  
  • Strong organizational and multi-tasking skills.  
  • Strong verbal and written communications skills. 
  • Proficiency in Microsoft Office Suite(Word, Excel, PowerPoint, Outlook).  
  • Ability to work independently and prioritize tasks efficiently.  
  • Experience in event planning or coordination is a plus.  
  • High level of integrity, professionalism, and attention to detail.  
  • Strong interpersonal skills with the ability to build positive relationships.

 

Position Summary

 

  • Location: Hybrid (5509 South Vermont Avenue, Los Angeles, CA  90037)
  • Pay: $18/hr
  • Hours: 10 hrs/wk. (Some evenings or weekend work may be required to support events and pop-ups.)
