Special Projects & Operations Associate, Beauty Club Ambassador Program

Position: Special Projects & Operations Associate

Location: Hybrid / Flexible

Reports To: CEO/COO


Role Overview

The Special Projects & Operations Associate will design, launch, and manage our Beauty Club ambassador program—a community of students, beauty professionals, and content creators who introduce LOO‑SHA to their campuses, clients, and social circles through content, events, and activations. This role blends program design, operations, and on‑the‑ground execution, ensuring ambassadors across these three communities are recruited, trained, supported, and empowered to bring inclusive beauty experiences to the people they serve

You will work closely with the founder and cross‑functional partners (marketing, partnerships, and product) to build workflows, playbooks, and processes that can scale across multiple campuses and cities.​


Key Responsibilities

Program Design & Strategy

  • Design the Beauty Club ambassador program structure (tiers, benefits, expectations, incentives) aligned with LOO‑SHA’s mission of intersectional, inclusive beauty.​
  • Develop clear goals and KPIs for ambassador impact, including engagement, event participation, and product/brand awareness on campus and online.​
  • Create program materials such as ambassador handbooks, FAQs, outreach templates, and activation guides.
  • Design the operational infrastructure to launch and support Beauty Club chapters on campuses, including chapter guidelines, officer roles, application processes, and brand standards.
  • Develop starter toolkits and playbooks that make it easy for new chapters to get up and running with meetings, events, and social media presence, while staying aligned with LOO‑SHA’s mission and visual identity.


Outreach, Recruitment & Onboarding

  • Build and manage a recruitment pipeline of student and community ambassadors, with a focus on diverse colleges, universities, and youth‑centric communities.
  • Partner with student organizations, campus departments, and local community groups to identify and recruit potential ambassadors.​
  • Own the onboarding process: applications, interviews or screenings, selection, onboarding sessions, and initial training.
  • Develop and facilitate virtual and in‑person onboarding experiences that educate ambassadors on LOO‑SHA’s product offerings, intersectionality, and brand values.


Operations & Workflow Management

  • Build and maintain operational workflows for ambassador communications, task assignments, reporting, and performance tracking using project management and CRM tools.
  • Coordinate logistics for ambassador kits, product sampling, and collateral distribution to campuses and event locations.
  • Create a regular communication cadence (newsletters, Slack/Discord, office hours) to keep ambassadors informed, motivated, and aligned.
  • Track and analyze ambassador activity and impact, generating recurring reports and insights to inform program improvements.​


Events, Campus & Social Activations

  • Plan and coordinate in‑person Beauty Club activations such as pop‑ups, vending machine launches, product exploration events, and educational workshops on campus.
  • Support ambassadors in executing campus events safely and compliantly, including space booking, staffing, checklists, run‑of‑show, and post‑event recaps.​
  • Collaborate with marketing to brief ambassadors on social campaigns, UGC content prompts, and digital activations across TikTok, Instagram, and other platforms.
  • Develop and maintain event toolkits (event templates, checklists, signage needs, social copy prompts) that make it easy for ambassadors to execute high‑quality activations.
  • Coordinate virtual experiences with beauty professionals (panels, workshops, Q&As, demos) for Beauty Club members and ambassadors, managing outreach, scheduling, tech logistics, and post‑event follow‑up.
  • Partner with beauty professionals and content creators to translate virtual experiences into on‑campus and community‑based activations that feel accessible and educational.


Cross‑Functional Collaboration & Special Projects

  • Partner with growth and partnerships teams to integrate brand partners and sponsored products into ambassador events and sampling.​
  • Coordinate with product and operations to align ambassador insights with kiosk locations, assortment decisions, and kit themes (e.g., “spring break,” “braiding,” “shaving”).​
  • Lead special projects that extend the Beauty Club model into new channels such as airports, community centers, or digital‑only communities.
  • Capture ambassador and student feedback via surveys, focus groups, and interviews to inform future product, service, and activation ideas.


Qualifications

  • 2–4 years of experience in operations, campus programs, community building, field marketing, or brand ambassador management (startup, beauty, or youth‑focused experience a plus).
  • Strong project management skills with the ability to build and refine processes, juggle multiple projects, and hit deadlines with minimal supervision.
  • Experience coordinating events or activations (on campus, in retail, or in community spaces), including logistics and vendor/partner management.
  • Comfortable working with students and young adults; understands campus culture, student organizations, and the role of social media in shaping trends.​
  • Excellent written and verbal communication skills; able to create clear instructions, playbooks, and templates for ambassadors.
  • Data‑curious and comfortable tracking KPIs, collecting feedback, and turning insights into action.​
  • Passion for inclusive, intersectional beauty and improving access to quality beauty products and experiences in “beauty deserts” and underserved communities.

Compensation & Logistics

  • Full‑time position with competitive salary and benefits (commensurate with experience).
  • Hybrid role based in Austin, with some travel to campus and event locations as needed.
  • Occasional evening and weekend work for events and activations.
