Program Operations & Intake Intern

Reports To: Intake Coordinator and/or Director of Operations 

Position Type: Internship 

Schedule: 20 hours per week 

Compensation: $18.47

Position Summary 

Del Aire Community Development Corporation is seeking a detail-oriented and solutions-focused Program Operations & Intake Intern to support the organization’s client intake and program coordination functions. 


The intern will shadow the Intake Coordinator to gain a comprehensive understanding of the organization’s intake procedures, client referral processes, program enrollment requirements, documentation practices, and internal communication systems. After learning the current process, the intern will help identify opportunities to make intake more organized, efficient, consistent, and accessible for both staff and community members. 


A major component of this internship will be documenting the Intake Coordinator’s responsibilities and assisting with the development of an intake operations handbook. The handbook will serve as a practical training and transition resource for future staff members responsible for intake and program coordination. 


Primary Responsibilities 


Intake Shadowing and Program Support 

•  Shadow the Intake Coordinator during the daily intake and program coordination process. 

•  Learn how community members are received, assessed, referred, enrolled, and connected to 

appropriate programs or services. 

•  Become familiar with intake forms, referral sources, eligibility requirements, program schedules, 

client records, and follow-up procedures. 

•  Observe how the Intake Coordinator communicates with clients, facilitators, partner organizations, and internal staff. 

•  Assist with routine intake-related administrative tasks under staff supervision. 

•  Maintain professionalism, confidentiality, and sensitivity when interacting with clients and reviewing 

client information. 


Process Evaluation and Improvement 

•  Review the current intake workflow from the initial client inquiry through enrollment, referral, follow 

up, and recordkeeping. 

•  Identify areas where the intake process may be unclear, repetitive, inconsistent, or time-consuming. 1

•  Gather feedback from the Intake Coordinator and other staff members who participate in the intake process. 

•  Recommend practical ways to simplify forms, organize information, improve communication, and 

reduce unnecessary administrative steps. 

•  Assist with creating intake checklists, process maps, templates, scripts, trackers, or other operational tools. 

•  Support the testing and refinement of approved process improvements. 


Intake Handbook Development 

•  Document the Intake Coordinator’s regular duties, procedures, and responsibilities.

•  Develop clear, step-by-step instructions for completing essential intake tasks.

•  Organize information about programs, schedules, referral procedures, staff contacts, required documentation, and follow-up expectations. 

•  Create guidance for handling common intake situations and questions. 

•  Assist with developing a glossary of frequently used terms, programs, forms, and systems.

•  Incorporate relevant templates, checklists, sample communications, and troubleshooting guidance into the handbook. 

•  Work with staff to review the handbook for accuracy, clarity, and usability. 

•  Produce a final handbook that can be used to train and onboard future intake staff. 


Internship Learning Objectives By the conclusion of the internship, the intern should be able to: 

•  Explain the primary responsibilities of a nonprofit Intake Coordinator.

•  Understand how clients move from an initial inquiry to enrollment or referral.

•  Evaluate an operational process and identify opportunities for improvement.

•  Develop clear standard operating procedures and training materials.

•  Translate staff knowledge into an organized and accessible handbook. 

•  Understand the importance of confidentiality, consistency, documentation, and client-centered 

service within a community-based organization. 

•  Present process improvement recommendations to organizational leadership. 


Desired Qualifications 

•  Current college student, graduate student, or recent graduate in nonprofit management, social work, public administration, business administration, human services, organizational development, or a related field. 

•  Strong written communication and documentation skills. 

•  Excellent attention to detail and organizational ability.

•  Ability to observe a process, ask thoughtful questions, and identify practical solutions.

•  Comfortable working with forms, spreadsheets, digital records, and administrative systems.

•  Ability to manage multiple tasks and follow projects through completion. 

•  Respectful and compassionate approach to working with individuals and families from diverse 

backgrounds. 

•  Ability to maintain confidentiality and exercise sound judgment. 2

•  Interest in nonprofit operations, community programs, client services, or process improvement. Preferred Qualifications 

•  Experience creating handbooks, standard operating procedures, training materials, or process 

documentation. 

•  Familiarity with client intake, case management, program coordination, or community-based 

services. 

•  Experience using Microsoft Office, Google Workspace, Canva, or database and case management 

systems. 

•  Interest in helping small or growing nonprofit organizations strengthen their internal systems.


Key Internship Deliverables 

The intern will work toward completing the following: 

1.  A documented overview of the current intake process. 

2.  A visual intake workflow or process map. 

3.  A list of recommended intake process improvements. 

4.  Updated or newly developed intake checklists, templates, and operational tools. 5.  

A comprehensive Intake Coordinator Handbook. 

6.  A final presentation or summary of findings and recommendations for organizational leadership. Supervision and Support 


The intern will receive regular guidance from the Intake Coordinator and organizational leadership. Scheduled check-ins will be used to review progress, answer questions, provide feedback, and ensure that all recommended changes align with the organization’s programs, policies, and client service standards. 


Confidentiality 

Because this position may involve access to sensitive client and organizational information, the intern will be required to follow all confidentiality, privacy, recordkeeping, and information-security policies established by Del Aire Community Development Corporation.


LA County Subsidy Eligible Position Information 

Subsidy roles require students to have an LA County based address, and be between the ages of 18-24 years old. Once you are placed in a subsidy eligible position you will be required to present the following documents to processed in a Youth Center (AJCC):

  • Identification (School or State ID).
  • Social Security Card (Please ensure that it is signed).
  • Birth Certificate.
  • Proof of Los Angeles County Residency, including a postmarked date (Report Card, Transcripts, or any mail that is under the applicant’s name).
  • Proof of COVID-19 Vaccination OR valid medical/religious exemption.
  • The Youth Center (AJCC) will be paying you for 160 completed hours.
  • You will be required to submit timesheets to your youth center (AJCC) to be paid for your time worked.


NOTE: IF YOU WERE ALREADY PLACED IN A SUBSIDY ELIGIBLE POSITION, YOU WILL NOT BE ABLE TO QUALIFY FOR ANOTHER SUBSIDY ELIGIBLE POSITION UNTIL JULY 1ST.
