The Project Coordinator is an integral member of the project team, responsible for delivering projects of varying size and complexity. The Project Coordinator is responsible for directing, organizing and controlling project activities under the direction of the Project Manager (PM). 


Responsibilities:


·        Support and assist project managers in delivering projects to our clients

·        Provide routine administrative services to project managers and engineering professionals working on a project team, including scheduling, invoicing and project tracking

·        Maintain electronic project files (ex: emails, deliverables, etc)

·        Operate project document control system as directed for specific projects

·        Maintain electronic filing for projects

·        Perform document control

·        Project Invoicing and AR Management. Create service orders for sub-contractors

·        Assist with the preparation for client meetings, reserving conference rooms, coordinating refreshments, collecting and compiling documents, recording meeting minutes, drafting correspondence, etc

·        Assist the PM

·        preparation of project work plans

·        Use project scheduling, Excel spreadsheet, database and control tools to monitor projects schedules

·        Attend required team project meetings

·        Maintain Contract/ PO Log

·        Maintain Submittal Log and facilitate Submittal process to completion

·        Assist the PM in the review of Contractor quotations

·        Keep the team and others informed about project status

·        Develop and maintain a detailed project schedule in conjunction with PM

·        Coordinate travel arrangements and expense reports for project managers and team members

·        Prepare and/or edit meeting minutes, presentations and tables

·        Ensure coordination of the interfaces of all disciplines within project team


Qualifications:


·        Ability to be detailed oriented, function in a multi-task environment and be able to follow complex instructions

·        Self-motivated and able to work under pressure

·        Knowledge of the building industry and construction administration

·        Adaptive, flexible to change, highly interactive and results-oriented

·        Effective communication skills including verbal, written and presentation skills

·        Proven ability to work effectively both independently and in a team based environment

·        Demonstrated willingness to be flexible and adaptable to changing priorities
